Q. How do I submit my dictations?
A. Dictations are called in to our Dictaphone system using any touch tone telephone. You will be assigned a unique ID number to access the Dictaphone system. Dictation lines are open 24 hours a day, 7 days a week. Alternatively, digital hand-held recorders can be used to dictate as well. These dictations are submitted online, after they are downloaded onto your computer.

Q. Can I use a cell phone to call in my dictations?
A. Yes, you may. However, please keep in mind that cell phones tend to sometimes cut in and out (dead-air) and can cause distortion in the dictation. If you are dictating using a cell phone and notice bad reception, it is best to sign out of the dictation and call back in with a clear connection.

Q. How do I receive my transcriptions?
A. When your dictations are transcribed, they are checked for accuracy and then uploaded to your email. All dictations are encrypted and password protected. You may also receive your dictations by fax.

Q. What word processing format do you use for transcribing?
A. That is your choice. We can save your dictations in WordPerfect or Microsoft Word. You will receive the entire file back in the format of your choice. You can also receive your dictations by fax.

Q. Do your medical transcriptionists sign a confidentiality statement?
A. Yes, all of our transcriptionists sign a confidentiality statement.

Q. How long are transcribed reports stored?
A. We will store your transcribed reports for a minimum of one year. After one year, they are archived to secondary media and stored for many years.

Q. Can you use my normal templates?
A. Absolutely. We will be happy to use your norms that you may routinely use in your dictations.

Q. What is the turnaround time for dictations?
A. Our turnaround time for dictations is 24-48 hours. We also offer 2-4 hour turnaround time for stat dictations.

Q. Do you offer faxing to referring physicians and cc physicians?
A. Yes, and we do this at no additional charge to you for faxing your transcribed reports within the U.S.

Q. What form of payments do you accept?
A. We accept checks, money orders and cashier checks. At this time, we do not accept credit card payments.

Q. How often do you send out invoices for transcription services?
A. Invoices are faxed or mailed once monthly, by the 10th of each month.

Q. When is payment due on invoices?
A. Payments are due within 10 days of the date of the invoice.

Q. How do I sign up with your service?
A. Please call 281-568-8973 or 936-448-6334 to set up an account and obtain your unique dictate ID number. We can usually have you set up within 1-3 hours.
